Configure features for the Yealink SIP T41S & T42S series phones

Use this guide to learn more about the features and functions of the Yealink SIP T41S & T42S series phones.

Function Buttons

These buttons are key to many of the feature processes of the Yealink SIP T41S & T42S series phones:

  • Navigation Cluster - The navigation cluster is the circular buttons in the middle of your phone. Press up or down to scroll through the options, lists, and menus. Press the center button to select the highlighted item.
  • Softkey Buttons - The softkey buttons, located beneath the main display are used to perform various functions that appear directly above them. The softkey functions may change to support your current activity. For example, when you’re on a call, the softkey functions help you manage that call.
  • Line Keys - The line buttons indicate the status of your lines and calls. The backlighting lets you know whether a line is:
    • Idle
    • Ringing
    • In Use
    • On Hold

Make and receive calls

Place a call

  1. To place a call using the handset,
    1. Pick up the handset. 
    2. Press the Speakerphone key.
    3. Press the Headset key.
  2. Enter the number.
  3. Then, press the Send soft key. 
During a call, you can alternate between the Headset, hands-free Speakerphone, and handset modes by pressing the Headset key, the Speakerphone key, or by picking up the handset. Headset mode requires a connected headset. 

Answer a call   

You can answer an incoming call in three different ways:

  1. Pick up the handset. 
  2. Press the Speakerphone key. 
  3. Press the Headset key. 

Decline a call  

To decline a call:

  1. Press the Reject softkey. 

End a call 

To end a call using the handset:

  1. Hang up the handset.
    or
  2. Press the End Call softkey. 

Enable calling functions

Place a call on mute

To mute a call:

  1. Press the Mute key to mute the microphone during a call.

To unmute a call:

  1. Press the Mute key again.

Place a call on hold 

To place a call on hold,  press the Hold soft key during an active call. 

Resume a call that was placed on hold

To resume the call, do one of the following:

  1. If there is only one call on hold, press the Resume soft key. 
  2. If there is more than one call on hold, press the Up or Down arrow to select the desired call, and then press the Resume soft key. 

Initiate a conference call

Initiate a three-way call, while on an active call:

  1. Press the Conf soft key during an active call. The call is placed on hold.
  2. Enter the number of the second party, and then press the Send soft key. 
  3. Press the Conf soft key again when the second party answers. All parties are now joined in the conference.    
  4. Press the End Call soft key to disconnect all parties. 
You can split the conference call into two individual calls by pressing the Split softkey. 

Transfer a call

Blind transfer 

To transfer a call to another person without talking to them privately about the caller beforehand. While on an active call:

  1. Press the Transfer soft key. The call is placed on hold.
  2. Enter the number you want to transfer to.
  3. Press the Transfer soft key.

Consulted transfer  

To talk privately about a call before transferring. While on an active call:

Semi-attended transfer 

  1. Press the Transfer soft key during an active call. The call is placed on hold. 
  2. Enter the number you want to transfer to, and then press the # key . 
  3. Press the Transfer soft key when you hear the ring-back tone. 

Attended transfer 

  1. Press the Transfer soft key during an active call. The call is placed on hold. 
  2. Enter the number you want to transfer to, and then press # key. 
  3. Press the Transfer soft key when the second party answers.

Direct transfer to voicemail

To transfer a call directly to another user’s voicemail without ringing their phone, while on an active call:

  • Press the More softkey.
  • Then press the Blind Transfer softkey.
  • Dial *55 followed by the extension you would like to transfer the call to. This completes the transfer to voicemail.

Forward a call

To forward a call:

  1. Press the Menu soft key when the phone is idle, and then select Features > Call Forward. 
  2.  Select the desired forward type:
    1. Always forward - Incoming calls are forwarded unconditionally.   
    2. Busy forward - Incoming calls are forwarded when the phone is busy.  
    3. No answer forward - Incoming calls are forwarded if not answered after a period of time.       
  3. Enter the number you want to forward all incoming calls to in the Forward to field. For no answer forward, press the Left or Right arrow to select the desired ring time to wait before forwarding from the After Ring time field.
  4. Press the Save soft key to accept the change.

Park and retrieve a call

You can use the call park feature to place a call on hold, and then retrieve the call from another phone in the system. To park a call:

  1. Press the  Park soft key. 
  2. If the call is parked successfully, there is a voice prompt confirming that the call was parked.

To retrieve a call that has been parked:

  1. Press the Retrieve soft key. 
  2. If the parked call is not retrieved within a period of time defined by the system, the phone performing call park will receive the callback.
Call park is not available on all servers. Contact your system administrator for more information. 

Access your call history  

Access call History for placed, answered, and missed calls:

  1. Press the History soft key when the phone is idle, and press the Up or Down arrow to scroll through the list.  
  2. Select an entry from the list, you can do the following:
    1. Press the Send soft key to call the entry.
    2.  Press the Delete soft key to delete the entry from the list.

 If you press the Option soft key, you can also do the following: 

  • Select Detail to view detailed information about the entry. 
  • Select Add to contact to add the entry to the local directory. 
  • Select Add to blacklist to add the entry to the blacklist. 
  • Select Delete all to delete all entries from the list

Retrieve your voicemail

The message waiting indicator on the idle screen indicates that one or more voice messages are waiting at the message center. The power indicator LED slowly flashes red. 

To access your voicemail:

  1. Press the Message key or the Connect soft key. 
  2. Follow the voice prompts to listen to your voice messages.

Transfer your voicemail messages

Sometimes you receive voicemail messages that are meant for another co-worker or would like for a colleague to listen to information left in a voicemail message. In these instances, it is easiest to simply transfer the voicemail to his or her extension instead of transcribing the information and calling or emailing your co-worker. 

To transfer your voicemail message: 

  1. Call your Voice Portal, either by dialing your business phone number or by pressing the message button, if applicable.
  2. Proceed to enter your passcode, usually a 4-digit number followed by the pound (#) key. The prompt for the voicemail menu options will begin.
  3. Press 1 to listen to your current voice message.
  4. Press 9 for additional options.
  5. Press 2 to forward the current message. You will be asked to record an introduction prior to sending the message. Once finished, press the pound (#) key. Note: This step is required, and you will not be able to proceed until you record an introduction.
  6. Press 3 to forward to 1 or more destinations.
  7. You will then be prompted to enter the extension/mailbox ID of the new recipient followed by the pound (#) key.
  8. Your voice message will now be sent to the extension/mailbox ID previously entered.
  9. Once finished, you can end the call or listen to additional voicemail menu options.

Setting up your extended away greeting

  1. Call your Voice Portal, either by dialing your business phone number or by pressing the message button, if applicable.
  2. Proceed to enter your passcode, usually a 4-digit number followed by the pound (#) key. The prompt for the voicemail menu options will begin.
  3. Press 4 to access the Extended Away Greeting menu.
  4. Press 3 to record your Extended Away Greeting. You will be prompted to record your message following the tone. Once finished, click on the pound key (#).
  5. To activate your Extended Away Greeting, press 1.
    Note: To deactivate the Extended Away Greeting, follow the steps 1 through 3. When prompted, press 2 to deactivate the Extended Away Greeting.
  6. Your Extended Away Greeting has now been activated.

Advanced feature for the Yealink T42S 

Configure anonymous call rejection

You can use anonymous call rejection to reject incoming calls from anonymous callers. Anonymous call rejection automatically rejects incoming calls from callers who deliberately block their identities and numbers from being displayed. Anonymous call rejection is configurable on a per-line basis. 

  1. Press Menu > Features > Anonymous Call. 
  2. Press the Left or Right arrow, or the Switch soft key to select the desired line from the Account ID field. 
  3. Press the Up or Down arrow to scroll to the Anonymous Rejection field.  
  4. Press the Left or Right arrow, or the Switch soft key to select Enabled from the Anonymous Rejection field.
  5. Press the Save soft key to accept the change or the Back soft key to cancel. 

Configure busy lamp field (BLF)

You can use BLF to monitor a specific line for status changes on the phone. For example, you can configure a BLF key on the phone to monitor the status of a friend’s line (busy or idle). The BLF key LED illuminates solid red when the friend’s line is in use. 

  1. Press Menu > Features > DSS Keys.  
  2. Select the desired DSS key. 
  3. Press the  Left or Right arrow, or the Switch soft key to select BLF from the Type field. 
  4. Press the  Left or Right arrow, or the Switch soft key to select the desired line from the Account ID field. 
  5. Enter the phone number or extension you want to monitor in the Value field. 
  6. Press the Save soft key to accept the change or the Back soft key to cancel.

Static forwarding

  1. Press the Menu soft key when the phone is idle, and then select Features > Call Forward. 
  2. Press the Up or Down arrow to select the desired forwarding type, and then press the Enter soft key.
  3. Press the Left or Right arrow, or the Switch soft key to select Enabled and choose the desired forward type:
    1. Always forward - Incoming calls are forwarded unconditionally.   
    2. Busy forward - Incoming calls are forwarded when the phone is busy.  
    3. No answer forward - Incoming calls are forwarded if not answered after a period of time.       
  4. Enter the number you want to forward all incoming calls to in the Forward to field. For no answer forward, press the Left or Right arrow, or the Switch soft key to select the desired ring time to wait before forwarding from the After Ring Time field.
  5. Press the Save soft key to accept the change or the Back soft key to cancel. The Call Forward icon on the status bar indicates that the call forward is enabled.
