Configure features for the HP-Poly CCX 400/500/600 & 700 series phones

Use this guide to learn more about the features and functions of the CCX 400/500/600 & 700 series phones.

The basics

  • Home screen - Includes softkey shortcut keys and favorites. Softkeys on your Home screen may differ, depending on your configuration.
  • Lines screen - Displays assigned lines and favorite contacts.
  • Meetings screen - Displays today’s meetings (if enabled).
  • Touchscreen -
    • CCX 400 & 500: Select items and navigate menus on the touch-sensitive screen.
    • CCX 600 & 700: Select items and navigate menus on the touch-sensitive screen. Tap the screen to select and highlight screen items. To scroll, touch the screen and swipe your finger up, down, right or left.
  • Softkeys - Softkeys are context sensitive, meaning they change depending on the current activity.

Make and receive calls

Place a call

To place a call:

  1. On the home screen, select Place a Call.
  2. Select Menu > Place a Call.
  3. Pick up the handset, press the headphone icon, or press the speakerphone icon.
  4. Enter a number or select onscreen keyboard to enter an IP address.
  5. Select Dial. Call will be placed.

To place a call from Recent Calls:

  1. From the Home screen or Place a Call screen, select Recent Calls.
  2. Select a contact. Call will be placed.

Answer a call 

To answer an incoming call:

  1. Select Answer on the incoming call screen.
  2. When you answer a call while on another call, the first call will be put on hold. To resume the held call, select Resume.

Enable calling functions

Place a call on mute

To put a call on mute:

  1. Select the Mute key to mute your audio so the other parties cannot hear you.

To unmute the call

  1. Select the Mute key again.

Call hold

  1. During an active call, select Hold.

Resume a call hold that was placed on hold

To resume do one of the following:

  1. Select Resume
  2. From the Calls screen, select the call and then select Resume.

Initiate a conference call

Initiate a conference call, while on an active call:

  1. During an active call, select Add. The call is placed on hold.
  2. Dial a second number using the dial pad or choose a contact.
  3. Select Merge Calls to initiate the conference call.

End a conference call

  1. Hang up the phone.
    or
  2. Press End.

Forward a call

To forward a call:

  1. Press Forward from the Home or Lines view.
  2. Select the forwarding type to enable.
  3. Enter the number.
  4. Press Enable.

Turn do not disturb on and off

To turn on do not disturb:

  1. Select DND.

To turn off do no disturb :

  1. Select DND.

Transfer a call

Blind transfer

To transfer a call to another person without talking to them privately about the caller beforehand. While on an active call:

  1. During a call, select Transfer.
  2. Dial a number or select a contact from Recent Calls or Contacts. The call transfers as soon as the recipient’s line connects.

Consultative transfer 

To talk privately about a call before transferring. While on an active call:

  1. During a call, select Consult. The active call will be placed on hold.
  2. Dial a number or select a contact from Recent Calls or Contacts.
  3. When the recipient answers, announce the call and then select Complete Transfer to transfer the call.

Direct transfer to voicemail

To transfer a call directly to another user’s voicemail without ringing their phone, while on an active call:

  1. Press the Transfer softkey. The caller is automatically placed on hold.
  2. Next, enter *55, and follow the audio prompts to complete the transfer.

Park and retrieve calls 

Call Park is a shared hold that allows you to “park” a call on one phone and retrieve it on another phone. For example, if you receive a call from a customer with a question about their archived file, you can park the call and retrieve the call from the file room phone to answer their account questions.

To park a call:

  1. During an active call, press Hold.
  2. Dial *68 plus the extension of where you want to park the call.

To retrieve a parked call from where it is parked:

  1. Press and hold the line key with the parked call. The Park Info softkey will display.
  2. Press the Park Info softkey.
  3. Press Retrieve.

To retrieve a parked call from another line:

  1. Press New Call and dial *88 plus the extension the call was parked on.

Retrieve your voicemail

To set up your Voicemail for the first time:

  1. Press the Messages key.
  2. Enter your default password and then the Pound (#) key.
  3. Enter your new passcode followed by the Pound (#) key.
  4. Confirm your new passcode, once again followed by the Pound (#) key.
  5. Record your name when prompted.

Accessing Voicemail

  1. Go to Messages.
  2. Select Message Center. If you have multiple lines on your phone, select a line.
  3. From the Messages screen, select Connect and follow the prompt to access your messages.

Transfer your voicemail messages

Sometimes you receive voicemail messages that are meant for another co-worker or would like for a colleague to listen to information left in a voicemail message. In these instances, it is easiest to simply transfer the voicemail to his or her extension instead of transcribing the information and calling or emailing your co-worker. 

To transfer your voicemail message: 

  1. Call your Voice Portal, either by dialing your business phone number or by pressing the message button, if applicable.
  2. Proceed to enter your passcode, usually a 4-digit number followed by the pound (#) key. The prompt for the voicemail menu options will begin.
  3. Press 1 to listen to your current voice message.
  4. Press 9 for additional options.
  5. Press 2 to forward the current message. You will be asked to record an introduction prior to sending the message. Once finished, press the pound (#) key. Note: This step is required, and you will not be able to proceed until you record an introduction.
  6. Press 3 to forward to 1 or more destinations.
  7. You will then be prompted to enter the extension/mailbox ID of the new recipient followed by the pound (#) key.
  8. Your voice message will now be sent to the extension/mailbox ID previously entered.
  9. Once finished, you can end the call or listen to additional voicemail menu options.

Setting up your extended away greeting

  1. Call your Voice Portal, either by dialing your business phone number or by pressing the message button, if applicable.
  2. Proceed to enter your passcode, usually a 4-digit number followed by the pound (#) key. The prompt for the voicemail menu options will begin.
  3. Press 4 to access the Extended Away Greeting menu.
  4. Press 3 to record your Extended Away Greeting. You will be prompted to record your message following the tone. Once finished, click on the pound key (#).
  5. To activate your Extended Away Greeting, press 1.
    Note: To deactivate the Extended Away Greeting, follow the steps 1 through 3. When prompted, press 2 to deactivate the Extended Away Greeting.
  6. Your Extended Away Greeting has now been activated.
